Frequently Asked Questions (FAQ)

All cancellation requests must be submitted in writing and may be subject to a $50.00 cancellation fee for a full convention registration, and up to $25.00 for a partial convention registration. You must contact the AVA no later than June 1, 2021, to cancel your registration for the 22nd AVA Biennial Convention. Cancellations made prior to June 1, 2021, will be eligible for refunds. No refunds will be given for cancellations made after June 1, 2021.

Pre-Convention events will be held Saturday, June 26 -Tuesday 29, 2021. Local club members have planned a walk and bike event in each location. Each Pre-Convention site will be available on the indicated date, the "main date", but will also be available as a convention-seasonal event available for a limited time before and after the convention in Madison. Participating on the "main date" assures the participant that a start table, restrooms and drinking fountain water will be available at the start/finish. Beginning in Galena IL on June 26 and each day until the last date in Madison, July 3, a walker and biker can sign their waiver, pick up their start card and directions for any of the events for the other Pre-Convention events and Madison Bike events. This will allow participants to complete the event to fit their travel plans. Be sure to get your books stamped in Madison by noon Saturday if doing any events on dates other than the "main date".
  • Saturday, June 26, 2021 - The first Pre-Convention walk and bike events are in Galena IL.
  • Sunday, June 27, 2021 - Join us in Oconomowoc WI. Bring your walking shoes and bicycle.
  • Monday, June 28, 2021 - Third on the list is a bike and walk event in the land of the Frozen Tundra, Green Bay WI
  • Tuesday, June 29, 2021 - The final Pre-Convention walk and bike events take place in Sparta WI. Biking will be on the Elroy-Sparta State Trail. If biking bring a bike light or a flashlight for the trail tunnels.
Beginning in the afternoon on Tuesday, June 29 through Saturday, July 3 plan to be in Madison WI for the AVA Biennial Convention, including social events, along with walking, biking and swimming events. Fun, Fitness and Friendship! Come Join us!
  • If you plan on cycling the AVA Bike Event starting in Sparta WI, the Sparta-Elroy Trail has long un-lit tunnel sections. You will need a bike light or at a minimum a flashlight to ride this event.
The AVA is not renting bicycles for any of this year's convention bicycling events. However, the following information has been located for those attending the convention that wish to rent one or more bicycles for an event. The AVA does not endorse or promote any of these vendors, nor did we knowingly exclude any other vendors from this list.
  • Galena IL:

  • Sparta WI:
  • Madison WI: Machinery Row Bicycles is located about 8 blocks from the convention hotel in downtown Madison. There are probably other rental locations in Madison. Maybe closer to the University of Wisconsin.
A way to help AVA is to donate a Silent Auction (SA) item to be auctioned off during convention. Donations are your option. They can be single items or a basket of items. All donations are welcome. We regret we cannot accept any items that require refrigeration. Besides SA items, gift cards are a popular auction item, and cash donations may also be given, made payable to AVA and sent in to the National Office in advance, or hand delivered with "AVA Silent Auction" entered on the memo line.
Here's what to do to record your donation:
  1. Go on-line and enter your donation as a separate section of the AVA Convention registration system. You will be asked:
    • Type of Donation: "Personal", "Club" or "Business"
    • Name of donor and mailing address
    • Name of Item
    • Description of Item
    • Value (USD)
    • Minimum Bid Amount
    • Bid Increment
    • Delivery Type: By Hand or By Shipping
    • Additional Information
  2. If shipping your item(s):
    • Once an online SA form is submitted, we will know to look for the shipped SA item(s).
    • Item(s) shipped in advance of the convention and expected to arrive before June 25 should be sent to:

      • PLEASE limit the number of large sized items sent in advance of an expected arrival of June 25.
    • Item(s) shipped in advance of the convention and expected to arrive between June 25 and June 30 may be sent directly to:

  3. If delivering by hand:
    • Items need to get to the Monona Terrace Convention Center, which is approximately 5 - 6 blocks from the convention hotel. You may walk or drive to Monona Terrace.
      • Times to drop-off donations are:
        • Monday, June 28 PM - Call Jerry Wilson at 608-695-6449 (leave a message), on-site between 1:00 - 4:00pm
        • Tuesday, June 29 - 11:30am - 4:00pm
        • Tuesday, June 29 - 5:00pm - 7:15pm, only if necessary, during open viewing of SA items and bidding.
        • Wednesday, June 30 - 10:30am - 5:30pm, only if necessary, SA room is open.
        • Thursday, July 1 - 10:30am - 9:00pm, only if necessary, SA room is open.
        • Thursday, July 1 - 9:00pm, SA ends.
        • Friday, July 2 - 9:00am Winning bids announced and posted.
        • Friday, July 2 - 10:30am - 5:15pm Payment and Pickup. Payment is to be made at the AVA Convention Registration area where a receipt will be issued allowing you to pickup your item from the Silent Auction room.
Cars and buses may unload passengers and materials at the Monona Terrace main entrance on the Level 4 Drive-Thru Lane.
  • Please note that parking is not allowed in the Drive-Thru lane. This lane is for passenger and material unloading only.
  • Please note that the Drive-Thru Lane Height Clearance - 12'0".
The Drive-Thru Lane is accessible as follows:
    From Hwy. 151/ E. Washington Ave.
    • Follow 151 (E. Washington Ave.) toward the Capitol.
    • Approx 0.5 miles before the capitol, turn LEFT onto Blair Street (follow signs for 151). You will want to be in the right hand lane.
    • At the stoplight, take a Sharp RIGHT onto E. Wilson St. Keep going straight on Wilson St. You will see the Capitol on your right and pass the front doors of Monona Terrace on your left.
    • Immediately after the tall, gray, historic state office building (on the left) turn LEFT into the Monona Terrace parking ramp. There is a sign on Wilson St. with an arrow pointing left into the Monona Terrace parking ramp.
    • As you enter, stay in the right lane and follow the drive to the main entrance.
    From Interstates 90/94 and Highways 12/18
    • Take I-90/94 to the Hwys. 12/18 Madison Exit.
    • Follow 12/18 West to the John Nolen Drive exit. John Nolen Drive is the 4th exit, exit 263. There is only one way to turn onto John Nolen Drive, heading north. Stay on John Nolen Drive until you have passed under the building.
    • At the intersection of John Nolen Drive, Williamson Street and Wilson Street, turn LEFT onto Wilson Street. Continue straight on Wilson Street until you pass the entrance to Monona Terrace and the State Office building on the left. There will be a sign for Monona Terrace Parking.
    • Turn LEFT into the parking area. As you enter, stay in the right lane and follow the drive to the main entrance doors.
